Case Study - Turning Investor Summits Into Measurable Outcomes

Overview

Event organizers know the uncomfortable truth about investor summits: most of the deal-making happens in hallway conversations that nobody tracks, and the hard work of onboarding investors happens three weeks out in a Mailchimp drip campaign that half the recipients never read. Three weeks before any serious investor summit, the organising team is fighting two losing battles in parallel — onboarding (chasing a few hundred investors and companies through a Mailchimp drip and a Google Form most won't open) and matching (turning whatever profile data does come back into useful one-to-one introductions, usually in a spreadsheet, usually with a tired analyst making judgement calls at midnight). After the event itself, nothing tracks whether a match became a meeting, whether a meeting became a conversation, or whether a conversation became a deal.

DealRoom replaces the entire flow with a single platform organised around the channel both investors and companies actually reply on — WhatsApp. Investor and company shortlists import from spreadsheets and kick off automated WhatsApp conversations two to three weeks before the event, collecting sector focus, AUM, stage focus, and partnership interests through dynamically generated forms rather than static web pages. Matching runs across all relationship types — investor-to-company, investor-to-investor, and company-to-company partnerships — and surfaces matches to both sides through a participant dashboard. Meetings book directly through Microsoft Teams calendars; check-ins fire automatically after each meeting. When a deal stalls, the system escalates it to the organiser instead of letting it die quietly in someone's inbox. An admin analytics surface renders onboarding rates, match-to-meeting conversion, and 30-day deal closure — the three metrics that actually tell you whether the event worked.

The matching engine treats every relationship type as a first-class object rather than a special case, which is what makes the platform useful beyond the investor-summit format. Participant interactions happen over WhatsApp because that's where investors and companies actually reply; meeting scheduling drops directly into the calendar each side already uses. The whole loop is choreographed so the organiser only has to intervene on exceptions: stalled deals, contested matches, last-minute schedule changes. The platform's job isn't to replace the hallway conversation — it's to make sure that for every hallway conversation, there are five more that got booked deliberately and a measurable closure rate at the end of the 30-day window.
